California Business Services is a trade name and service of Freedom Trading, LLC, a California limited liability company. This policy explains what personal information we collect, why we collect it, how we protect it, who we share it with, and the rights you have. We collect only what is needed to deliver the services you order, and we do not sell or share personal information for cross-context behavioral advertising.
1. Information We Collect
We collect information you give us and information generated when you use the site:
- Contact and identity information — name, email, phone, home address, mailing address, and business address.
- Business information — desired entity names, industry, business description, ownership structure, management structure, member names and addresses, and ownership percentages.
- Sensitive information for EIN and verification — the responsible party's Social Security number or ITIN and government-issued identification documents. This is collected after purchase through a secure onboarding step, not on the public order form.
- Payment information — processed by our third-party payment processor. We receive confirmation, amount, and limited card metadata; we never store full card numbers or security codes.
- Technical and usage information — IP address, device and browser type, pages viewed, and similar log data, plus cookies strictly necessary for the site to function and, where applicable, basic analytics.
2. How We Use Information
We use personal information to: prepare and submit formation, EIN, and compliance filings; verify identity and prevent fraud; establish registered agent service; process payments and issue receipts; provide your secure order-tracking page; send renewal and compliance reminders; respond to support requests; maintain records required by law; and improve the security and performance of our site. We do not use your information to make automated decisions that produce legal effects about you.
3. Legal Bases and Necessity
We process information because it is necessary to perform the contract you enter with us, to comply with legal and agency requirements (for example, IRS responsible-party reporting), and for our legitimate interest in fraud prevention and service security. Providing certain information — including SSN or ITIN for an EIN application — is required to complete those services; without it, we cannot perform that part of your order.
4. How We Protect Sensitive Information
Social Security numbers and identification documents are transmitted over encrypted connections and encrypted at rest. Access is limited to authorized administrators who need it to complete your filing, protected by authenticated, role-restricted access controls and database-level policies. Uploaded identification files are stored in a private, non-public location. No system is perfectly secure, and we cannot guarantee absolute security, but we maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the data.
5. Who We Share Information With
We disclose personal information only as follows:
- Government agencies — the California Secretary of State, the IRS, and other agencies, as required to make the filings you authorize. Some filing information, including business addresses and member or manager names, becomes public record once filed.
- Third-party registered agent — your entity name, addresses, and contact details, so the provider can accept service of process on your behalf.
- Service providers — payment processing, cloud hosting and database services, email delivery, and accounting professionals engaged to deliver included financial setup services. These parties are permitted to use the information only to provide services to us.
- Financing partners — only if you affirmatively choose to pursue a referral (for example, CABizCapital), and only with the information needed for that request.
- Legal and business transfers — when required by law, subpoena, or lawful request, to protect our rights, or in connection with a merger, acquisition, or sale of assets, subject to this policy.
We do not sell personal information, do not share it for cross-context behavioral advertising, and do not disclose SSNs or identification documents to marketers under any circumstances.
6. Retention
We keep order and filing records for as long as needed to provide services and to meet legal, tax, and recordkeeping obligations — generally at least four years after your last transaction. Sensitive EIN identifiers and identification documents are retained only as long as needed to complete and substantiate the related filing, after which they are deleted or archived in encrypted form. You may request earlier deletion of identification documents once your filings are complete.
7. Your California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the right to know the categories and specific pieces of personal information we collect, the sources, purposes, and recipients; to request correction of inaccurate information; to request deletion, subject to legal exceptions such as completing a transaction or complying with recordkeeping obligations; to limit the use of sensitive personal information to what is necessary to provide the services requested (which is already our practice); and to be free from discrimination for exercising these rights. Residents of other states with similar laws may exercise equivalent rights.
To make a request, email info@californiabizservices.com or call (559) 549-4717 with enough detail for us to verify your identity and locate your records. We respond within 45 days, with an extension where permitted. An authorized agent may submit a request with written permission.
8. Cookies and Tracking
We use cookies and similar technologies that are necessary for site functionality, secure sessions, and payment processing, and limited analytics to understand site performance. We do not use third-party advertising cookies or cross-site tracking. You can control cookies through your browser; disabling necessary cookies may break checkout or account access. We honor Global Privacy Control signals where applicable.
9. Email and Text Communications
We send transactional messages about your order, filings, renewals, and compliance deadlines. You may opt out of marketing messages at any time using the unsubscribe link; transactional and legally required notices will continue while you have active services.
10. Children's Privacy
Our services are for adults operating businesses. We do not knowingly collect information from anyone under 18. If we learn we have, we will delete it.
11. Data Location and Third-Party Sites
Information is processed and stored in the United States. Links to third-party websites are governed by those parties' own privacy policies, not this one.
12. Security Incidents
If a breach affects your personal information, we will notify you and any required regulators as required by California law and other applicable law, without unreasonable delay.
13. Changes to This Policy
We may update this policy; the “Last updated” date will change and material changes will be communicated by email or a notice on the site. Continued use after an update constitutes acceptance.
